There are always going to be inherent challenges in outdoor festival event planning, and for us, these included three days of Covid-safe, rain-or-shine experiences.
The festival event management plan would have to account for a varied agenda of both casual outdoor activities and elegant evening events.
Oh, and there would be no cell service, so any hope of tight communication called for walkie-talkies, as staff would be spread across miles of mountainous terrain while managing every facet of the experience.
But the result would be everyone’s reward, with enchanted forest ambiance amid a naturally awe-inspiring setting — from a basecamp and party tent on a mountain top to an intimate wine dinner in an oak grove, to social competitions and activities on a beach.
- Concepted and created a complete cadence of scheduled events and activities for community engagement, socializing and celebration
- Designed and constructed venues, infrastructure and housing, including furnished yurts, luxe showers and restrooms, and a special “getting-ready” tent as a dressing room for evening events
- Excavated over 3 acres of land to create event venues and campsites for 250 guests
- Brought in electricity required for both ambience and safety
- Coordinated water deliveries sufficient for guests and crew, restrooms and showers, as well as dust-dampening operations across the property
- Branded the event with a themed identity, logo and color scheme, decor styling and signage for key locations, events and activities
- Set up PCR Covid testing as part of the special event planning for all guests and staff upon arrival
- Safely transferred people, equipment, food and water across mountainous, single-lane roads — requiring all trucking to be coordinated and timed to the minute
